Job Descriptions – Weekly

Producing theatres have creative teams who develop productions. They include artistic directors, designers of sets, props, costume, lighting and audio-visual media, as well as musical directors and choreographers. Additional specialists are brought in when needed.

Marketing manager
The marketing managerÔÇÖs role is to promote and sell tickets. To do so, they manage all aspects of the theatreÔÇÖs publicity and advertising material which includes, fliers, posters, press adverts, brochures, newsletters and websites. They oversee their content, design and production and arrange distribution of all printed material. Sometimes, this role includes press and public relations.┬áWe are set up with a company called Eventbrite for online sales. ┬áOver the counter tickets can also be reserved. ┬áThey hand out promotional materials and make announcements to students on strategies to spread the word about our shows.

Development manager
Not all of a theatreÔÇÖs income will come from ticket sales or registrations. We rely on grants, donations and sponsorships. The development manager creates fundraising strategies, writes grant applications, seeks sponsorship and looks for commercial partnerships.┬á

Small Group Manager
This position ensures that appropriate educational material is provided for our students.  This year our theme is:  Work hard to achieve your goals, but get your facts straight!  (Phil 3:14 ) Students will have a 20 minute block during which they will learn about goal setting, to address issues like anxiety, purposelessness and procrastination. It should consist of learning whether through video or worksheets, sharing and prayer.   Encouragement, realistic expectations and follow up time is important to ensure success. The education manager will ensure that our volunteers are equipped and prepared to lead the small group block each day.

Technical department
This team manages all technical aspects of a show, including the safe and effective use of equipment. Technical staff include lighting and sound operators and crew responsible for special effects such as smoke and pyrotechnics. 

Cleaning Supervisor
They maintain and clean the theatre each day after rehearsals and are required to clean before and after shows or arrange assistants to do so.  Cleaners should arrange a schedule directly with other cleaners to ensure the facility is cleaned regularly.  For specific details on cleaning, click here!

Snack Coordinator
They organize parents into a snack schedule for weekly Friday rehearsals and also for our shows.  A call or email a couple of days prior to rehearsal is necessary to remind the parent of their commitment to bring a snack.   Parents should bring healthy snacks.

Welcome Desk at Weekly Friday Rehearsals
Our students need to be welcomed in a friendly manner and signed in each Friday.  Absent or late students need to be called by 3:45 to discover their whereabouts.  Students are expected to arrive on time and absenteeism must be approved by the Director in advance.  There may be hand outs from our Marketing Manager or prizes from our director or other items that need to be handed out at the end of the day.

Costume Designer
A costume designer first reads the script to learn about the personalities of the characters and the time period. A┬ácostume designer consults with the director to interpret the vision into the costumes. ┬áThe costume designer confirms the number of speaking and non-speaking characters in each scene of the production and what they will wear. This is especially important in a theater performance, because it identifies when a character may need a quick costume change during successive scenes.┬áThey ┬ácollect items┬ásuch as jewelry, shoes, hats or masks. A costume designer needs to be experienced in sewing to explain the details of how a costume is to be constructed to our students and volunteers. They also manage and must stay within the production’s costume budget. When all the costumes are created, the care and coordination of costume use normally becomes the responsibility of a wardrobe assistant….but the costume designer is more than welcome to be a part of coordinating students at our shows. ┬áWe have a large collection of clothing, shoes, hats and accessories at our storage closet. ┬áMany of these can be adapted to suit our needs.

Set Designer
They create the design ideas and sometimes delegate the practical work of creating a set that flows with the ideas presented in the script. ┬áThey┬ástudy scripts and discuss ideas with the director, props and lighting designers. ┬áWork out potential problems like complex scene changes. ┬áCreate effective designs within the available budget. ┬áSketch design ideas to produce a ÔÇÿstoryboardÔÇÖ, showing what the sets will look like scene by scene. ┬áOversee set building and decoration. Make any adjustments needed during rehearsals. ┬áThey┬ámight work alone or with an assistant. ┬áWe already have a wooden ┬ábackdrop frame which allows for canvas backdrops to be hung and changed as needed. ┬áSet up the stage prior to rehearsal week and shows. ┬áThe backdrop can stay up once it is set up for the most part.

Props Design
I am getting tired of creating job descriptions. ┬áYawn. ┬áRead script. ┬áCollect props (there’s a lot in our storage closet). ┬áHave ’em ready the first week of November. ┬áSound good?

Photographer/Videographer
They take pictures at special events, regular rehearsals and on our photo day and costume day.  This role involves creating a slide show (10 minutes) to be shown during intermission.  They also video the show and copy this to DVD for parents and students as a keepsake.

Assistant Director
They run lines with students and help the director accomplish goals as needed.

Assistant Stage Managers
They help oversee projects such as set and prop construction, and assist the stage manager with keeping the stage, actors, and crew organized.

Who produces and presents a show?
Paid staff positions

Other than the performers and artists, a team is needed to produce and present a show. Most are never seen by the audience! ┬áWhich some of us like 🙂

Producer – Sharon Wiebe
The producer is responsible for finding the money to finance a show and managing the financial risks. He or she will also source the performers and the team who will create and put on the show.

Artistic director – Sharon Wiebe
The director develops the artistic vision of a production and often the overall programme to be presented by the theatre. ┬áOnce the production opens, the director passes their instructions to the stage manager who writes ÔÇÿthe bookÔÇÖ. This is the full script along with the prompts and cues for the performers as well as lighting, sound and scene changes and any last-minute changes or revisions.

Choreographer
The choreographer works with the students to deliver the creative team’s vision through dance. They are utilized during rehearsal times to lead the dance lessons and practices, and also spend time preparing the choreography selections that will result in fun and successful dance numbers.

Stage Manager – Tiani Foster
The stage manager┬áhas overall responsibility for the stage in performance. ┬áThe S.M. writes ÔÇÿthe bookÔÇÖ. This is the full script along with the prompts and cues for the performers as well as lighting, sound and scene changes and any last-minute changes or revisions. ┬áBecause we have a small theatre company, this role is combined with Production Manager. ┬áA Production Manager┬áis responsible for coordinating all the technical and staging requirements of a production. They organize and equip┬áthe creative team responsible for the sets, props, costume, lighting and audio-visual media. They will also work with the artistic director, the musical director and the choreographer who design and deliver the creative teamÔÇÖs vision.

Stage Management Team
The S.M has a team to assist:
– The DSM┬á(shows only)┬áwill sit in the prompt corner, usually to Stage Left. From there they co-ordinate all aspects of the show by following ÔÇÿthe bookÔÇÖ, including sound, lighting and all scene changes using headsets and cuelights. They also make the ÔÇÿcallsÔÇÖ, summoning the actors from the dressing rooms or the green room to the stage using a backstage headset. ┬áAnnouncements are made fifteen minutes and then five minutes before ÔÇÿcurtain upÔÇÖ. The DSM┬áalso calls the audience into the auditorium by the ÔÇÿfront of houseÔÇÖ public address system at the beginning of a show and at the end of the intermission.
– The ASMs┬á(shows only) will usually run the ÔÇÿwingsÔÇÖ backstage ÔÇô setting props and performing scene changes. ┬áWe often have students in charge of this area.

Company manager – Calvin Williams
The company manager is responsible for all aspects of the staff financial administration, including dealing with pay. 

Chief executive – Sharon Wiebe
The chief executive manages the theatre, ensuring everyone is focused on putting on shows, attracting and looking after audiences, and making the theatre a financial and artistic success. He or she oversees the planning of the theatreÔÇÖs programmes and has overall responsibility for the theatreÔÇÖs finances, staff and the building itself. They report to the theatreÔÇÖs owners (Youth Unlimited).

Volunteer Jobs On Show Days!

Stage crew – Students
They are also known as stage hands and are responsible for shifting props and free-standing scenery during the show.

Front of house
They are the public face of a theatre, and work according to its performance times. They sell tickets at our shows.   They supervise student ushers who greet the audience and direct them to their seats quickly and safely, or to the cloakrooms or toilets. They also hand out programmes. Their duties include assisting less mobile members of the audience. This position may also include monitoring students who are waiting in the foyer for their cues and communicating through a headset with the stage manager during the shows.

Concession Coordinator
They schedule the volunteers and students into time slots and job descriptions in order to run a successful concession stand. ┬áVolunteers from St Paul’s are encouraged to be involved as the public face of the church with our guests. ┬áThey ensure that adequate food and drink items are purchased and priced appropriately. ┬áLeftovers are bundled up and brought to the Awards Day on Sunday Nov 29. ┬áThe kitchen should be left clean after each show.

Wardrobe Assistant
They help students to change into the proper costumes at the proper times during performances and dress rehearsals.  This job can be shared.
